This policy explains what personal data we collect through the website and when registering for the M.A.L.E. - Meet the Aesthetic and Longevity Experts congress, why we use it, to whom we transmit it, and what rights you have.
1. Who is responsible for your data
The data controller is HYLUXMED DOCTORS S.R.L., the organizer of the M.A.L.E. - Meet the Aesthetic and Longevity Experts congress, located in Giroc, str. Trandafirilor no. 112, Timiș County, CUI 50890150, Trade Register no. J2024041690002. For any questions about your data, write to us at office@meettheexperts.ro.
2. What data we collect
- Identification and contact data: name, surname, email, phone, country.
- Professional data of doctors: specialty, professional grade, title, institution or clinic where you work, unique medical identification code (CUIM) or registration number in the professional college.
- Registration data: chosen ticket, workshops, accommodation options, event attendance, payment status.
- Billing data: company name, tax code, and address if you request an invoice.
- Technical data: IP address (from which we only deduce the country for statistics and site language) and language preference saved in the browser.
3. Why we use them
- To register you for the congress and provide you with paid services (contract execution).
- To issue invoices and keep accounting records (legal obligation).
- To report your participation for the granting of EMC credits (legal obligation of the continuous medical education provider).
- To make you known to sponsors and allow you to receive a scholarship from them (based on your consent, see section 4).
- To send you information about the edition you registered for and keep the site secure (legitimate interest).
4. Congress sponsors
M.A.L.E. - Meet the Aesthetic and Longevity Experts takes place with the support of partner companies (sponsors). The registered doctors' data – name, specialty, institution, country, and contact details – are visible to the edition's sponsors from the moment of registration through their dedicated portal. Sponsors can offer scholarships, meaning they can cover the cost of the ticket, workshops, or accommodation for a doctor.
You can choose at any time to not share your data with sponsors: at registration or later, via an email to office@meettheexperts.ro. Withdrawing consent does not affect what happened before it. Note: if you do not share your data with sponsors, you cannot benefit from a scholarship from them, as a sponsor cannot support a doctor they do not know.
5. EMC credits
For the granting of continuous medical education points, we transmit to the professional college accrediting the event (Romanian College of Physicians or, as applicable, Romanian College of Dental Physicians or another accrediting body) the list of participants actually present: name, surname, specialty, professional or academic grade, and CUIM. The list is transmitted through the college's platform, within a maximum of 30 days from the end of the congress, along with the signed attendance list and evaluation questionnaires. Without this data, the college cannot grant you the credits.
6. Card payments
Online payments are processed by Stripe. Your card data is entered directly at Stripe and does not reach us and we do not store it. We receive from Stripe only the payment confirmation, the amount, and the last digits of the card. Stripe processes data according to its own privacy policy and may transfer data outside the European Economic Area, with the guarantees provided by law (standard contractual clauses or the EU-US Data Protection Framework).
7. To whom we also transmit data
All data remains with M.A.L.E. - Meet the Aesthetic and Longevity Experts and we do not sell it to anyone for commercial purposes. Apart from sponsors (section 4), the college granting EMC credits (section 5), and Stripe (section 6), they can only be accessed by:
- providers who help us operate (site hosting, email, accounting), only as needed for their service and with a confidentiality obligation;
- the hotel or event location, for accommodation and access, if you have chosen these services;
- public authorities, when the law obliges us.
8. How long we keep them
- Registration data: for the duration of the edition and another 3 years, so we can notify you about future editions and respond to EMC checks.
- Accounting documents (invoices, payments): 10 years, as required by accounting law.
- Consent for sponsors: until you withdraw it.
9. Your rights
You have the right to request access to your data, correction, deletion, restriction of processing, portability, to object to processing, and to withdraw your consent at any time. Write to us at office@meettheexperts.ro and we will respond within a maximum of one month. You can also file a complaint with the National Supervisory Authority for Personal Data Processing (ANSPDCP), B-dul G-ral Gheorghe Magheru no. 28-30, Bucharest, www.dataprotection.ro.
10. Security and changes
We protect data through encrypted connections, account and password-based access, and limited access to those who need it. We may update this policy; the current version is always the one on this page.
